How do you break up the multi-step projects into manageable tasks and then how do you schedule your tasks to stay productive? In this video I’m sharing how I do this using Asana and Google Calendar.


TIME BLOCKING (AKA CALENDAR BLOCKING)

This is a very popular technique among some of the most successful people in the world to manage their time. Instead of working off a simple to-do list, you take all the tasks that you have to do and assign them to specific blocks of time.

The tool that I use to do is Google Calendar. That’s my preferred tool because of the flexibility to access my calendar from anywhere on any device.

PROJECT PLANNING

A project is anything that requires multiple different steps or sub-tasks to be completed. You can’t plan to complete a project by treating it as a single task. By breaking up the project into it’s different phases and then into the individual tasks, you will be then able to block out time to get each of the tasks done.

So you need a system to break down all your projects, set timelines and deadlines for when each task needs to be completed, so that you can ultimately complete the entire project piece by piece, without being overwhelmed.

I use the app Asana to do this but you can also use other project planning apps such as Trello, or even do the same thing on a paper planner.

CHECKLISTS FOR ROUTINES

For the things that you want to make sure you do on any kind of regular interval whether that’s daily, weekly, monthly, quarterly, or yearly – create checklists for yourself so that you don’t have to think about it and try to remember all the steps you have to go through each time.
